Privacy Policy
How we handle information from this website, our leagues and the player app. Effective October 12, 2026.
Who we are
Dean Vending Company (“Dean Vending,” “we,” “us”) operates on-location entertainment — games, darts, pool, jukeboxes and ATMs — and runs dart and pool leagues and tournaments in the Minneapolis-St. Paul metro. This policy covers this website, the player app, and the league operations connected to them.
Information we collect
Information you give us
- When you contact us. Our service request, location review, league inquiry and email-update forms collect the details you type — typically your name, business name, email address, phone number and your message. The service form also lets you attach a photo of the equipment involved.
- When you create a player account. Your email address and a password (handled by our authentication provider — we never see or store your password), plus the name and optional phone number you enter on your profile.
- When you register or pay for league play or a tournament. The registration details required for that event. Card and bank details are handled by our payment processor; we do not receive or store full payment card numbers.
Information from league operations
Our leagues run on third-party league management software. When you play in one of our leagues, that system records your name, the team and division you play in, your match results and your statistics, and may hold contact details your team captain or league coordinator provided. We import that information so the website and player app can show schedules, standings and statistics, and so we can invite you to claim a player account.
Information collected automatically
Like most websites, our servers log technical details of each request — IP address, browser type, pages requested, timestamps. We use an error-and-performance monitoring service to record diagnostic information when something breaks. We use this to keep the site working, to investigate problems and to detect abuse of our public forms.
We also use Google Analytics to understand how visitors use this website — which pages are viewed, how visitors found us, and which buttons and forms get used. Google Analytics keeps the details of each visit for 14 months. Google Analytics sets its own cookies and does not receive anything you type into our forms. Its advertising features are switched off. You can block it with your browser’s cookie settings or with Google’s opt-out add-on.
How we use information
- To respond to your service request, quote request or question.
- To run our leagues and tournaments — schedules, standings, statistics, registrations and notices about play.
- To operate the player app, including sign-in, your profile and the Sub Finder.
- To send you league and event updates you asked for, and to invite imported players to claim an account. You can stop these at any time.
- To secure, maintain and improve the site and app, and to prevent fraud and abuse.
- To meet legal, tax and accounting obligations.
How league statistics appear publicly
League standings and statistics are part of running a public league, and portions appear on this website so players and venues can follow the season. On our public pages we shorten player names (for example, “Jane S.”) rather than publishing full names. We do not publish player email addresses, phone numbers or home addresses. If you would prefer your name not appear at all, contact us and we will work with your league coordinator on the options.
The Sub Finder
The player app includes a Sub Finder that lets a team captain ask the player community to fill an open spot. When a captain posts a request, registered players who have opted into those notifications receive an email. If you respond that you are interested, your name and email address are shared with that team’s captain so they can reach you — that is the point of the feature. Your contact details are not shown to other responders or to the wider community, and you can turn these notifications off in your profile at any time.
How we share information
We do not sell your personal information. We share it only as follows:
- Service providers who run parts of our operation on our behalf — website and application hosting, authentication and account security, email delivery, payment processing, league management software, and error monitoring. They may use the information only to provide their service to us.
- Venues and league officials, where it is necessary to run play — for example, sharing a roster or a schedule with the bar hosting your division, or sharing a sub’s contact details with the captain who requested one.
- When the law requires it, or to establish, exercise or defend legal claims, or to protect the safety of people or property.
- In a business transfer, if the company or the relevant part of it is sold or reorganized.
Cookies and local storage
The public website uses minimal storage and does not use advertising trackers. Google Analytics, described above, sets cookies of its own. The player app stores a sign-in session in your browser so you stay signed in, and remembers small preferences on your device. Clearing your browser storage will sign you out.
Keeping information
We keep information for as long as it is needed for the purpose it was collected — for the duration of your account or your participation in our leagues, and afterwards where we need it for records, disputes, or legal and tax obligations. League results and standings are part of the historical record of a season and are generally retained.
Security
We use reasonable safeguards, including encrypted connections and a dedicated authentication provider that handles passwords so that we never store them. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children
This website and the player app are intended for adults. Our leagues are played in venues that set their own age requirements, and many are licensed establishments open only to patrons 21 and over. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
Your choices
- Email. Every list email includes an unsubscribe link, and you can switch off Sub Finder notifications in your player profile.
- Your account. You can review your profile and your email choices in the player app at any time. Your name and phone number come from the league office’s records; if something is wrong, send a correction from your Profile and the league office will update it.
- Access, correction and deletion. Contact us and we will work with you on your request, subject to the records we are required or permitted to keep. Depending on where you live, you may have additional rights under your local law.
Changes to this policy
If we change this policy we will update the effective date above and post the revised version here. Material changes to how we handle player information will be communicated in the app or by email.
